The following are suggestions for hosting state meets. This is not a substitute for reading and following the USAG Rules and Policies concerning State Meets. Before bidding for a state meet, read thoroughly all sections in "Rules and Policies" concerning hosting of meets.
1. The sectional rep for the state meet host will be the designated SAC member for the meet. This rep will visit the host club to inspect and approve both the equipment and the meet site. This must be done at least 3 months prior to the meet date.
2. The facility must have enough room on the competition floor and stands for participants and spectators. It is recommended that the actual competition floor area be not less than 6500 sq. feet. The contract for the facility use must be submitted not less than 4 months prior to the meet date for SAC approval.
3. The host club should call each club with eligible gymnasts at least 6 weeks prior to competition and obtain numbers and ages of gymnasts they expect to qualify. The host club will submit a schedule of both warm up and competition sessions to the SAC at least 4 weeks prior to the meet date. A schedule mat not be published to the competing clubs until times are approved by the SAC. Qualifier lists will be sent to the meet hosts to check against actual entries.
4. The following expenses are the responsibility of the state meet host:
A. Awards: state medals must be the official USAG medals for state. Medals must be presented using the guidelines in the Rules and Policies. Additional rosette ribbons or medals must be presented so that a minimum of 35% of the gymnasts in that age group (rounded to the nearest whole number) receives awards. Team awards must be presented to at least 35% of the teams (rounded to the nearest whole number) with at least 3 gymnasts.
B. Facility costs
C. Equipment costs
D. A gift for each competitor
E. Judges expenses (per diem, judges fees, hotel, and transportation): 2 judge panels with a meet referee
F. All supplies for the meet
5. No state meet bids will be accepted using a home gym for the meet site.
Bids must be received on the official USAG bid form and must include all information requested. Be sure to include admission cost (see the USAG WA. web site for admission caps), specifics on awards and specifics on equipment (especially mats). Bids without the above information included, or not on the official form will be returned for further information, or not considered for hosting the meet.
